How to plan a pledge moment at your charity event

How to plan a pledge moment that lands: the story, the ask ladder, a live leaderboard and the script that gets hands, and phones, in the air.

The room goes quiet. A short film ends. The host steps up and asks who'll give £1,000 tonight. A hand goes up. Then another. The total on the screen starts to climb.

A great pledge moment can be the biggest single fundraiser of your night. Here's how to plan one that works.

1. Lead with one story

People don't pledge to a strategy. They pledge to a person. Choose one story that shows exactly what the money will do. A short film, a speaker who's been helped, or a frontline worker.

Keep it to three to five minutes. Then gostraight into the ask, while the feeling is still in the room.

2. Time it right

In our experience the sweet spot is usually after the main course and before the live auction. Guests are relaxed and engaged, but not yet tired. Avoid going straight after a long speech.

3. Build an ask ladder

Start high, then work down. Each level should link to something real.

•        £5,000 pays for [impact]

•        £1,000 pays for [impact]

•        £500 pays for [impact]

•        £100 pays for [impact]

•        £50 pays for [impact]

Starting high sets the tone. Ending low means everyone in the room can take part.

4. Line up your first pledges

Nobody wants to go first. So don't leave itto chance. Before the night, quietly agree a few pledges at the top levels withtrustees, sponsors or major donors. When their hands go up first, the roomfollows.

5. Let guests pledge on their phones

Hands in the air are great theatre. But they're hard to track and easy to forget the next morning. Let guests pledge on their phones at the same time, by scanning a QR code on the table. Every pledge is captured, and payment can be taken there and then.

6. Put it on the big screen

A live leaderboard or total turns giving into a shared moment. Show the running total climbing towards your target. Show guest names or table totals. Watch tables compete.

One charity's bespoke Emma leaderboard drove a record number of pledges on the night.

7. Script your host

A confident host makes all the difference. Give them:

•        A one-line link from the story to the ask

•        The ask ladder, with the impact for each level

•        Names of agreed first pledges (and permission to thank them)

•        A target and a few milestone call-outs ("We're halfway!")

•        A clear close and thank you

Example opener: "You've just met Sam. Tonight, we can make sure the next Sam gets help on day one, not month six. Who'll start us off with £5,000?"

8. Add matched funding

If a sponsor will match pledges up to a set amount, announce it at the start. "Every pound pledged in the next ten minutes is doubled" adds urgency and excitement.

9. Follow up fast

Thank every pledger the next day. Collect any pledges not paid on the night within a week, while the moment is still fresh. Then, a few months later, show them what their pledge made happen.

Quick checklist

•        ☐ Story chosen and timed

•        ☐ Ask ladder with impact for each level

•        ☐ First pledges agreed in advance

•        ☐ QR codes on every table

•        ☐ Live total or leaderboard onscreen

•        ☐ Host script and target agreed

•        ☐ Matched funding confirmed (if any)

•        ☐ Thank you and payment follow-up ready

Emma's pledging tools capture every pledge, show it live on screen and take payment on the spot.
