How to plan a charity gala dinner: a step-by-step guide

A great gala feels effortless on the night. Behind it is months of planning, a lot of spreadsheets and at least one seating plan redone at midnight. It doesn't have to be that way. Here's how to plan a charity gala dinner that raises more and stresses you less.

A great gala feels effortless on the night. Behind it is months of planning, a lot of spreadsheets and at least one seating plan redone at midnight.

It doesn't have to be that way. Here's how to plan a charity gala dinner that raises more and stresses you less.

Start with the money, not the menu

Before you book a venue, decide what success looks like. Set two numbers:

·       Net fundraising target: what you want to raise after costs.

·       Cost ceiling: the most you'll spend to get there.

Then workout where the money will come from. Most galas raise through a mix of ticket sales, sponsorship, an auction, a prize draw and a pledge moment. Don't rely on tickets alone.

Your 12-month timeline

  • 12 months out: set targets, book the venue and confirm the date.
  • 9 months out: secure a headline sponsor, and book your host and entertainment.
  • 6 months out: launch ticket sales and start sourcing auction lots.
  • 3 months out: chase table sales, and confirm catering and AV.
  • 6 weeks out: finalise the auction catalogue and open online bidding.
  • 2 weeks out: lock the table plan and send guest information.
  • Event week: run through the night with the venue, host and team.
  • The week after: send thank yous and an impact update, and chase payments.

Make ticketing easy

Offer individual tickets and tables. Add a premium option, like a VIP table with a pre-dinner reception. Use early bird pricing to get sales moving.

Keep the checkout simple and mobile friendly. Collect dietary needs and guest names at the point of sale, so you're not chasing them later.

With Emma, you can set up ticket tiers and discount codes on a branded event site in minutes.

Plan your tables (without the midnight panic)

Table planning is where galas get stressful. Hosts change their guest lists. Sponsors want the best spot. Someone needs to sit away from the speakers.

A drag-and-drop table planner saves hours. Seat your biggest supporters near the stage, spread your team across the room and keep a few spare seats for late changes.

Build in more ways to give

The best galas give every guest several chances to give, at different price points:

·       Silent auction: runs all evening, on guests' phones. See our guide to running a silent auction.

·       Live auction: three to five headline lots, with a good auctioneer.

·       Prize draw: a low-cost way for everyone to join in.

·       Pledge moment: a short, emotional ask from the stage. See how to plan a pledge moment.

·       Donations: a simple QR code on every table.

Running all of these on one platform means one login for guests and one set of numbers for you.

On the night

·       Fast check-in. QR code tickets get guests in and to the bar quickly.

·       Clear run of show. Share a timed running order with the host, AV team and venue.

·       Keep the story front and centre. One powerful film or speaker beats five long speeches.

·       Watch the numbers live. A real-time dashboard shows you which lots need a push.

Don't stop when the lights come up

The week after the gala matters as much as the night itself:

·       Thank every guest within 48 hours.

·       Share the total raised and what it will do.

·       Collect any outstanding payments and pledges.

·       Send sponsors a short report on their impact.

·       Save the date for next year while the buzz is still there.
